ABSTRACT
Information is vital to the success of any organization. Thus, the need to handling information sent and received is of great importance. It has been discovered that some organization involved incompetent hands in handling its information which result to breakdown in organization communication; as such the study examines the role of office manager in handling incoming and outgoing mails. The study was a survey study with four organizations in Kaduna metropolis.
The theoretical basis for the study was obtained through review of related literature. The population of the study is 133 and the whole population was used. The instrument used for the collection of data was questionnaire 200 copies of questionnaires were administered to the respondents and all the copies were filled and returned. For the analysis, 5 research questions were formulated to generate answers.

The instrument used for analysis is Mean statistical distribution table. Based on the data analyzed on the topic under study, the researchers concluded that mails are very vital to the success of every organization as it may either leads to increase or decrease in productivity. Also office managers coordinate, supervise and monitor all the mails sent and received in an organization.
Thus, the study recommends thatHuman Resource Management department should include in the job design various skills needed of those handling certain positions such as mails in order to be able to employ qualify candidate for a particular post in the organization. Also, Induction training should be a must to every new employee in an organization so as to familiarize them with the normal pattern of the organization.

INTRODUCTION
1.1 Background of the Study
Organizations make use of different types of information in their day to day transactions, this information are received and disseminate daily inform of correspondents (Mails) which if not handled with care can have effect on the image of the organization concern. This makes most organizations to involve competent hands (office managers) in handling its mails.
According to Universal Technical Institute (2012) “an office manager is someone who is responsible for directing workers and seeing that their jobs are done effectively. Office managers often decide what administrative support duties are needed in their department or company.An office manager is a hired hand saddled with the responsibility of planning, organizing, integrating activities of others in an organization. (National Board for Technical Education; 2012).
Mails are seen as a form of written information or items that are packaged and delivered or communicated between individuals or organizations. The information in these mails are very important to the smooth running of an organization. Every organization sends or receives mails on regular basis and since there exist many organizations at various locations then, there is the need that a very safe and careful way of handling incoming and outgoing mails is achieved.
According to Merriam Webster (2012) mails are means or system for transmitting message electronically (as between computers on a network). Such mails that is done electronically are called “email” mails can also be sent manually inform of letters, circulars, memos, etc. but the modern way of sending mails is through the use of computer connected to a network. This is the easiest and fastest way of passing information from one organization to another or within departments of the same organization.
An office professionals is one who has undergo training on how to handle correspondence and also trained as an office manager who in absent of the Boss can take decisions (UNESCO; 2013). The task of treating, sorting and ensuring that each mail is delivered to its correct destination is being coordinated by the office manager of an organization.
Technological advancement has reduced the rate of traveling and movement of people from one place to another with the purpose of dispatching mails. Though email has made it easier to receive and reply mail that is being sent to organizations, but emails can only be sent with the use of computer connected to a network with highly trained computer operator in which without power supply cannot be done.
Various units of an organization carry out the task of handling the incoming and outgoing mails. Some organizations have specialized unit called their “registry”. This registry unit is charged with the responsibility offunctions such as receiving incoming and dispatching outgoing mails to other department or organizations. However, in most small organizations, the secretary is charged with this responsibility.
1.2 Statement of the Problem
Every organizations’ success is dependent on how well communication is managed to its most effective and efficient use which is mostly done through mails in most organizations. This therefore means that mails ought to be properly handled.
