ABSTRACT

Shorthand has been view as an indispensable subject in office technology and management, but overtime, it has been observed that its relevance is disputable in practice today. Thus, this project examines the relevance of shorthand to students of office technology and management in Kaduna Polytechnic. 

An introduction was made, followed by the statement of problem as well as the objective of the study while some research questions were formulated to guide the study. The theoretical basis for the study was done through the review of relevant literature on the topic under study. However, the population of the study was 409 while the sample size was 311.

The questionnaire method was used in gathering data from the respondents. 311 questionnaires were administered and 300 were returned which was used for the data analysis. Based on the data analyzed and the findings arrived at, the study concluded that the availability of shorthand facilities like electric typewriters, computer, dictating machine overhead projectors, printers, headphones, good ergonomics and a conducive noise free environment will enhance studentsโ€™ performance in shorthand. The study further recommends among others that Students must learn to block out fear of failure in shorthand caused by their negative attitude.

INTRODUCTION

1.1       Background of the study

Based on research carried out by previous researchers, it was discovered that many individuals(students) who are absolutely ignorant about the significant contribution of shorthand to secretarial profession and to the outside world still believe that secretarial profession does not require any intellectual know how and so it is a profession for drop out.

Also experience has it that students do not have interest in learning and understanding shorthand to enable them have a good knowledge of the subject. Because of this notion many students do not take the study of shorthand serious.

For the effective discharge of office duties, professionals must have a mastery of basic office skills. These skills include shorthand, typewriting etc. of all these skills shorthand happens to be the most important and most challenging of all. Adedayo and Akinyele (2012) opines that an office professional that is deficient in the knowledge and use of shorthand is at best a glorified typist.

In OTM departments and most tertiary institution   as  n A,.MCVCs, most students believe that secretaries no longer write shorthand in business offices with the invention and installation of such machines like computer.

The use of shorthand by a professional rather than go into extinct, has been confirmed to be complimentary to e โ€“ administration. According to Abayomi (2000)  whenever accurate record of spoken sound is required, particularly in congress, business sector, court of law and again in offices of every size, shorthand is needed more especially those in the media because reporters need to record information fast.

The importance of shorthand to an office professional when taking minutes of the meeting, is that it enables an office professional write in short form in order to capture all that was said in the meeting. Vanbaren (2011) notes that learning shorthand is a requirement for stenography because when you learn shorthand you can focus on what you have written down.

vanbaren observes that shorthand offers concentration and eloquence in speech. This means that a good knowledge of shorthand enables an office professional to transcribe what has been written.

In business offices, proceeding of meetings, conferences, and other correspondences are expected to come out very accurate. To do this, office professionals need an expert knowledge of shorthand writing and transcription.

Barsely (2000)  states that shorthand is the most useful tool of a secretary in the office. secretaries ability to take high speed in type writing for transcription makes such a secretaries a better one.

Shorthand, sometimes called stenography, is a system of writing by sound: that is photography. The New Age Encyclopedia (1977:455) defines shorthand as โ€œan abbreviated system of writing that utilizes symbols or short alphabetic combinations to facilitate rapid recording of the spoken wordโ€.

It is thus the system of using signs and symbols to represent sounds. This has succeeded in promoting fast writing, labour saving and time-saving phenomena.

As the adage says โ€œtime is businessโ€. Shorthand writing facilitates speed and saves a lot of time when taking down spoken words. It also makes possible a record of spoken words as much the same time as the speaker speaks. The benefits of shorthand writing have enhanced its general acceptability and popularity in the world of business.

In highlighting the importance of skill courses to secretaries (Onasanya 2000) argued that a person cannot be an office professional without attaining acceptance level of proficiency to the core subjects of secretarial training of which shorthand is one of them. What is obtainable to work environment the course curricular of institutions of learning.

Despite the untiring effort of lecturers and conducive environment in the department many students show little or no interest in the learning of shorthand. What matters to the student is passing not mastering the course. their perception about shorthand has brought about a decline in performance. On this Chukwu (2009) says that the general notion has been that shorthand is a difficult subject.

It is heard among students that shorthand is not relevant because of development in technology forcing secretaries to be called office professionals they use sophisticated machines like computer, video conferencing, fax machine etc. so office professional no longer take dictation from their bosses.

It is based on this ground that this study is set out to asertain the relevance of shorthand to student in the department of OTM, college of business and management studies in Kaduna Polytechnic Kaduna.

1.2       Statement of the Problem

From the background it was discovered that despite the introduction of technology, shorthand is still relevant since it is not everything that technology can do. Despite this fact however, it has been observed that many individuals(students) who are absolutely ignorant about the significant contribution of shorthand to secretarial profession and to the outside world still believe that secretarial profession does not require any intellectual know how and so it is a profession for drop out.

Experience has that most students do not have interest in learning and understanding shorthand to enable them have a good knowledge of the subject.  It is often heard among students complaining that after all many people believed that secretarial study is a course for women and that shorthand is not relevant in the society today.

Because of this notion many student do not take the study of shorthand serious.  These facts have not been empirically ascertained, therefore there is a need to carry out a research on the relevance of shorthand to O.T.M student in the department.

1.3       Purpose of the Study

The main purpose of this study is to find out the relevance of shorthand to the student of Office Technology and Management. Kaduna Polytechnic, Kaduna.  However specific objectives includes to;

1. Identify studentโ€™s perception towards studying shorthand.

2. Investigate the influence of shorthand on studentโ€™s general performance.

3. Determine the usefulness of shorthand to student of office technology and management.

4. Determine strategies necessary to improve studentโ€™s interest in shorthand

1.4       Research Question

This research will attempt to answer the following questions to achieve its objectives.

1. What is the perception of student towards shorthand?

2. Does shorthand influence the student performance generally?

3. What is the usefulness of shorthand to office technology and management?

4. What strategies are necessary to improve studentโ€™s interest in shorthand?

1.5       Significance of the Study

This study after completion will hopefully be of benefit to the following categories of people, students of Office Technology and Management studies, practicing office professional, further researchers and society.

Office Professional: Employee in an office, who deals with correspondence, keeps records, make arrangement and appointments, for a particular member of  staff.

Shorthand: This is a rapid way of writing by using symbols to represent sound.

Student of Technology Management Studies: the findings of this study would be of immense be of immense benefit to students of secretaries studies (practicing office professional) due to the fact that it will make them know the relevance and worth of shorthand and what it entails this will enable them to appreciate and fully utilize the benefit attached to good shorthand writers as it extend to their future achievement and good academic performance.

Practicing Office Professional: it is hoped that this study practicing office professional will see the need to broaden their knowledge of shorthand as it will bring about efficiency in their performance and boost their productivity.

Future searchers: This project will serve as a guide and source of information for a further detailed and researcher.

Society: this should also help shorthand writers mostly beginners who are venturing into unknown to get the basic principles and techniques behind this course.

1.6       Scope of the Study

The scope of the study is limited to identify students perception towards studying shorthand, investigate the influence of shorthand on students general performance, determine the usefulness of shorthand to students of office technology and management, determine strategies necessary to improve students interest in shorthand.

The study is located in Kaduna metropolis as the field of study using the department of Office Technology and Management, College of Business and Management Studies Kaduna Polytechnic.

1.7       Limitations of the Study

It is necessary to mention some of the limitations of this research work. The chief limitation is the difficulty in obtaining relevant information. The polytechnic library do not have recent books on the subject of the study.

The method at collected data created problem, since the researchers has to administer questionnaire to students of Office Technology and Management. Subsequent to this problem is the combination of academic work with this research work and tight schedule of the project supervisor.
