ABSTRACT

The study was conducted to determine the role of office professionals in office management. The study was a survey study with four randomly selected organizations in Kaduna metropolis. The theoretical basis for the study was obtained through review of related literature. The population of the study is 42 and the whole population was used as sample size.

The instrument used for the collection of data was questionnaire 42copies of questionnaires were administered to the respondents and 41 copies were filled and returned. For the analysis, 4 research questions were formulated to generate answers. Based on the data analyzed on the topic under study, findings revealed that office professionals play a major role in office management as they help to exhibit leadership role by managing the office in the absence of the executives as well as facilitating, coordinating and control of various office functions.

The study thus, recommends among others that management of organization should ensure that their office professionals possess the necessary skills before they are employed. Likewise, management of organizations should provide all the machines and equipment required for effective and efficient office management.

INTRODUCTION

1.1 Background of the Study

Office management is the technique of planning, organizing, coordinating and controlling office activities with a view to achieve business objectives and is concerned with efficient and effective performance of the office work. According to Venkatesh(2016), the success of every organization depends upon the efficiency of its office and its professionals.

The volume of paper work in offices has increased manifold in these days due to industrialization, population explosion, government control and application of various tax and labour laws to any business enterprise. Efficiency and effectiveness which are key words in management are achieved only through office professionals by proper planning and control of activities, reduction of office costs and coordination of all activities of business (Galloway, 2014).

A business is carried on by businessman with the help of group of persons which include the office professionals. One may be tempted to ask ‘who are these office professionals?

Or what is their work in the office?’ An office professionals is someone who had undergo training on how to handle correspondence and also trained as an office manager who in absent of the boss can take decisions (UNESCO, 2010). The task of treating, sorting and ensuring that each mail is delivered to its correct destination is being done by the office professionals of an organization.

Thus, handling mails, receiving visitors and telephone calls, day to day activities and decision making is handled by office professionals. Today, the office is becoming such a complex place and more demanding that the executive finds it difficult to cope with the task. In other words there is need for someone that would help him/her accomplish the office tasks; hence, the need for an office professionals.

On the whole an office professional today is part and parcel of the executive and so is very indispensable. These are persons who assist the executive by displaying an expert skill (imitative tact judgment and others) in performing their office function without close supervision by the executive (Sokanu, 2017).
