Hostel Management System creates an identity of the hostel for the institution. The system gives information on rooms, features of the hostel, as well as assigning booking rights to building managers and so on. The system makes it easy for boarders to scan through the updated profile of the hostels. It also clearly states the features, booking procedures and other basic details of the hostel.

CHAPTER ONE
1.0 Introduction
Beginning in the 1980s, a number of vendors began developing software system to manage paper-based documents. These systems dealt with paper documents, which include not only printed and published documents, but also photographs, prints etc. Later developers began to write a second type of system which could manage electric documents, i.e. all those document, or files, created on computers, and often store on users’ local file systems. The earliest Electronics Document Management (EDM) systems managed either proprietary file types, or a limited number of files formats. Many of this system later became known as document imaging system, because they focused on the capture, storage, indexing and retrieval of image file formats. These systems enabled an organization to capture faxes and forms, to save copies of the document as images, and to store the image files in the repository for security and quick retrieval (retrieval made possible because the system handled the extraction of the text from the document in the process of capture, and the text-indexer function provided text-retrieval capability). Mathieu, (2002).
EDM system evolved to a point where system could manage any type of format that could be store on the network. The application grew to encompass electronic documents, collaboration tools, security, workflow, and auditing capabilities.
All document management system should have five basic components.
- Capture and import tools to bring document into the system.
- Methods for storing and achieving document.
iii. Indexing and retrieval tools to locate document.
- Distribution tools for exporting document from the system.
- Security to protect document from unauthorized access.
A Document Management System (DMS) is a computer system (or set of computer programs) used to track and store electronic documents and/or image of paper documents. It is usually also capable of keeping track of the different version created by different users (ECM) system and related to digital asset management, document imaging, workflow systems and records management systems. 1.1 Background of Study
Education is the bedrock of the industrial growth of any nation. It is the basic and fundamental tool needed for the transformation of any nation. The process of obtaining standard education is in phases or stages, with the next phase dependent on the previous phase.
During the process of acquiring education, students are expected to be kept in a well acceptable arena or place known as a hostel, they are expected to be given the best accommodation which will enhance proper learning and a perfect output in terms of result. For one to be able to make his hostel booking and make payment from one phase to another some requirement have to be met.
This requirement usually takes collection of hostel application form after payment to the bank has been made. Once the payment is made using student name and registration from the bank a pin number is given to the student, he/she can be allowed to proceed to the next level, if not the student is required to still obtain a vital pin number which can only be gotten on payment of hostel accommodation, for access to hostel booking again. At every point the school admin is responsible for the available hostels and available rooms per term or per semester or yearly.
This process is expected to take place from time to time, a process which is stressful and cumbersome. Hence the need for a system which assists the staff in this process cannot be over emphasized, because it will go a long way in helping the staffs meet up with the stipulated time. An easy way of providing this needed assistance is through the development of a repository which will house all available hostel rooms. Feet this project is poised to attain with the needed flexibility.
1.2 Motivation
Most or almost all the departments within Kaduna polytechnic used manual system of document management. Formal documents are handled in a decentralized way, which will not only result in difficulties in terms of search and retrieval of documents, but also in lack of sufficient security, inefficient distribution and inadequate planning for recovery and disaster for such documents. These problems along with other limitations motivated the commencement of this project work.
1.3 Purpose of Study
- To create a system that will ease staffs burden of manually allocating hostel rooms to students and retrieval of entered information’s on time and meeting whatever deadline given in the case of registration of hostel.
- To properly organize the system to ensure flexibility to give the user the needed support.
iii. To enhance easy modification in order to reflect necessary changes.
1.4 Methodology
The methodology used in this study to obtain required data and information include report examination and interview method. Report examination here has to do with critical observation of records that are relevant to the proposed system. While the interview method involve a face interaction with interviewee. During the interview, the interviewer asks the interviewee question who in turn provides answers to such questions. The above method where used to obtain relevant data and information for this project.
1.5 Scope of the Project
The scope of this project is limited to kaduna Polytechnic hostel booking system, which covers the aspect of student of the login page, booking and reservation of the available hostel and room, as well as providing disaster and recovery plan for booking made.
1.6 Expected Contribution to knowledge
The study of this work is important because it provide a new dimension in hostel booking and allocation. The software to be developed during the course of this study is expected to help in the allocation of hostel rooms to students who are in various departments in Kaduna Polytechnic.
