Abstract

This study was aimed at finding out “strategies for effective information management among office professionals using four selected organizations in Kaduna metropolis.  Five research questions were raised to guide the study.Relevant literatures of various authors in relation to the topics were reviewed to produce a solid background to the study. 

A set of questionnaire was used as the instrument for data collection.  The population of the study was 160 workers and 120 was used as sample for the study. 120 questionnaire was administered to the sampled respondents and 100 were returned and used for analysis. 

The means score statistical methodwas used in analyzing the data retrieved from the respondents, findings from the study revealed that the use of management information system equipment and other modern office machines facilitates enhance staff’s job performance by improving their effectiveness on the job. 

Thus, the study recommends among others that organizations should give staff opportunity to go for training and retraining so as to up-date their competence and knowledge in management information system.  It is also recommended that sophisticated office equipment should be purchased by management of an organization in order to facilitate accurate efficient and effective data processing for management decision making at all level.

INTRODUCTION

1.1  Background of the Study

Information management (IM) is the process by which relevant information is provided to decision-makers in a timely manner (Davis, 2011). Information, as we know it today, includes both electronic and physical information. The organizational structure must be capable of managing this information throughout the information lifecycle regardless of source or format for delivery through multiple channels that may include cell phones and web interfaces (Cyert, & March, 2015).

Information management has largely been defined from an information systems perspective and equated with the management of information technology. Information management is a corporate responsibility that needs to be addressed and followed from the upper most senior levels of management to the front line worker (Venkatraman, 2016).

Despite the revolution in information technology (IT) some organization are still using the manual and conventional system of gathering, processing, storing and retrieving information.  Consequently, the accuracy, efficiency, credibility, confidentiality, convenience and effectiveness of managing information might not be achieved.

Effective information management improved the standard of administrative operation of an organization and an accurate and convenient method of gathering and managing office documents, such as letters, memo, verbal information and other forms of correspondence that exist in business world.

In performing the basic secretarial function of collecting, transferring, verifying, processing and transmitting of information system, Lee (2015) informs that these secretarial functions can only be achieved effectively by the use of computer system and other information processing machines.

Data processing, storing and retrieving should be done through computer in order to complement the change in global information and communication technology (ICT).  More so, information management can be handling much more speedily and in a better form for the achievement of organizational objectives.

Despite the advantage of information management there seems to be some factors militating against management of information such as manual methods of filing, incompetence in information management, inadequate memory aids and libraries for preserving information are factors that affect the effective coordination of office information.

As observed by (John 2013) traditional methods of handling information increase the risk of improper management of the office information and higher coordination of organizational document may not be achieved.

Meanwhile, there are various studies on the importance of information management to an organization.  However, much has not been written on the factors militating against information management in an organization, hence this study.

Office Professionals’ work in a dynamic environment pack full with conflicting situations and instruments – so much that no two working days are exactly the same.  These conflicting decisions and instructions crop up all the time and they demand prompt attention and decisions, but the role of it is that the time to perform these function does not increase rather, it seems to diminish and with this apparent shortage of time comes “stress”.
