ABSTRACT

The study was conducted to determine the relevance of office professionals in an automated office using four selected organizations in Kaduna metropolis as a survey. Four research questions were raised to address its objectives. The theoretical basis for the study was obtained through the review of related literature such as textbooks, journals, conference paper and internet facilities.

The population of the study was 80 and all were used as a census study was conducted due to its small size. The instrument used for the collection of data was questionnaire. 80 copies of a set of structured questionnaire were administered to the respondents and 72 copies were returned and used for the analysis using mean statistical distribution on a four point Likert type scale. Frequency distribution table was used with a mean score of 2.5.

Findings revealed that office professionals are relevance in an automated office as they are able to work with computer system using several packages. Based on the findings, the researcher concluded among others that office professionals are more relevant in an automated office as they are able to carryout several task using different facilities.

Likewise in word processing, the office professional ensures that the data input for the computer is accurate and complete and they rely on computer to analyze and interpret data. Thus, the study recommends among other things  thatmanagement of organization should employ trained office professionals so as to ensure higher organizational productivity.

INTRODUCTION

1.1 Background of the Study

The new wave in technology innovation and the challenges of today’s offices in respect to automation and the make-up of people from diversified culture, have caused policy makers and educators to look inwards on program contents, (a system of naming things) and career prospect.  Although, some program offered by most polytechnics have been carefully looked into and program contents reviewed and nomenclature changed to fit into current demands of office (NBTE, 2008).

This will also include the relevance of content of the program to the society/philosophy of education as well as the goal of the general education as an integral part of the educational process.

According to Obayi (2012), change in the nomenclature of erstwhile secretarial studies to office technology and management (OTM) needs to be accompanied by various modifications in the program including the instructional process especially at the graduating level with intent at producing highly qualified secretaries required in modern automated offices.

The present contents of Office Technology and Management program are not quite in line in terms of adequacy, relevance and functionality.  A close look at the course contents would not suggest immediately what the curriculum providers where out to achieve or what the graduates of the program would understand as career opportunities open to them.

For instance, on graduation, the office technology professional is expected to work as a company secretary, administrative assistant, information database manager, entrepreneur, consultant, lecturer, desktop specialist, training manager and so on.

The courses taken by students of the program are expected to help students develop skills, attitude, knowledge, competencies and qualities to enable them to be relevant and succeed in the world of work, (Njoku, 2012).

The main ingredients which will make office technology and management graduates unique or outstanding may not be in all the institution for all the graduates.  This will indicate a gap as standardization will be difficult.  In as much as it is true for institutions to enrich their curriculum with local contents, there is doubt about the relevance of such addition as it may be the subjective.

It was also built on the premise that the students of the programme are prepared for entry into a different or wide variety of businesses and becoming self reliant.  This craved way for the teaching of courses that will equip them with professional skills, technical skill, general education, as well as foundational education needed for advancement and personal use (Nwosu, 2012).

The teaching in the classroom must have a close correlation with what is obtainable in the office if not similar. Unfortunately, some of what today’s office managers would need to withstand the test of time are lacking in the reviewed curriculum.

This is very obvious as the professional and general courses are not rich and relevant while that of the general education does not in any way suggest what the office technology professional should be equipped with in the area of communication.

It is doubted whether the secretaries in Nigeria are adequately prepared based on their current training to cope with the changes and challenges in the contemporary office relative to modern technologies.  For the products of office technology and management (OTM) program to be relevant they must be equipped with requisite technological competencies to meet up with the tremendous surge and demands of ever-changing technologies in modern automated offices (Obayi, 2012).

Based on this fact, Agbamu (2005) stated that the technological advancement have made traditional office functions to be out modeled; the emergence of technology has changed the operations in modern office.

In another development, Onajide (2006) posited that office systems have moved from typewriters, handwriting and manual operational procedures to full automation of most office where such terms as word processing, data processing, reprographics and micro-graphic are used to describe many technological processes.

The author further stated that these technological processes have turned traditional office into modern offices hence the need to impact the modern technology skills and knowledge to the students to enable them to be relevant to the world of work in this contemporary time.
