Abstract

With the advent of technology, remarkable changes have been recorded inthe office especially in the use of office equipment in the organization. This makes the researcher to embark on this study in order to determine the impact of office equipment on the performance of office professionals using four selected organizations in Kaduna metropolis namely; Central bank, Ministry of Agriculture and Forestry, Ministry of Education Science and Technology and Ministry of Commerce Industry and Tourism.

An introduction was made, followed by the statement of the problem as well as the objectives of the study. Four research questions were formatted to guide the study.

The theoretical basis for the study was done with the reviewed of relevant literature such as journals, books, and internet facilities. However, the population of the study was 85while the sample size was 43using Krejcie and Morgan table. The questionnaire method was used in gathering data from the respondents. 43 questionnaire were administered and 34 were returned which was used for the data analysis.

Based on data analysed and the findings obtained among others, the study concludes that office equipment enhances productivity in the office if used by qualified and trained office professionals. The study recommends among others that the office professionals should acquire skills and knowledge in order to enhance his productivity in the office.

Also, training of staff in the use of office equipment should be encouraged in every organization if productivity is at the fore-front of its existence.

CHAPTER ONE

INTRODUCTION

1.1 Background of Study

For decades now, fast changes have been taking place in all facets of human life including the office environment. This is as a result of constant improvement in daily human activities due to technological advancement and cross cultural relationships facilitated by multilateral agreements. Every office in today’s business world, be it government, industry or other human endeavours, require facts and accurate information for quick decision-making.

The office professional, expects certain support from the organization into which he/she is employed. This support can be technological (machines and equipment and human.(Akpomi&Ordu, 2009).

In the early age, office activities which include paperwork were done manually with the use of machine such as manual typewriter, large duplicating machine, collating machine etc. These later developed into new modern office equipment due to the disadvantage which includes noise, bulkiness, and lack of speed, waste of energy, time and resources.This is the era of computers and information technology which has become an enabler of greater convenience.

However, today’s office cannot be discussed without relating to technology. Information technology has affected many professions in recent times. The roles of office professionals have been turned around by technology. It has provided the tools that shift the role of professionals from that of information recorders to business strategists (Appah and Emeh, 2011).

Office professionals now have many technologically advanced office gadgets to ease their jobs and enhance proficiency and productivity leading to improved access to goods and services globally (Wofersohn, 2001). New technological equipment that has altered the procedures and technique for office functions include the computers, electronic mail/ commerce, voice mail, and the Internet. However, these new developments brought by technological challenges require even more knowledge and skills beyond being an office professional.

Mills and Ford (2008), noted that office equipment enable workers to work with minimum fatigue. It does not only increase efficiency but boost production process which is the main objective of the organization. Office work is made easier as less effort is put into achieving a greater result. An employee may not have to go from one place to another but can easily sit at his table and carry out his regular office activities.

Several other authors are of the view that the office professional has to be well equipped to meet the present challenges of a modern office.

Pickard (2006), also states that employees who feel good are likely to be more productive. It is easy to instinctively understand that a few standardequipment in the officewill make it a nicer place for employees (office professionals)to feelbetter as a result.

Pickard (2006) further stresses that the office is the centre of social interaction and the design provide better meeting rooms, open spaces and telecommunication facilities demands serious attention. The stacking plans for the building are equally important, an efficient office layout will take careful operational advances to optimize the use of assets, facilities and function in use. Many organizations are being driven by the value systems of office equipment rather than its contribution to the organizations productivity.

In recent times, office professionals learn to operate new office equipment mainly through attending courses, trainings, workshop and seminars during which manufacturers will introduce their products and demonstrate by giving illustrations about their equipment to various operators.This is to enable organization face the challenges associated with it.

This is because despite the fact that the technology has changed and transformed the office to a better one. There are still some problems and aspects that cannot be overlooked as a result of those technological changes. The use of some of these equipment has adverse effects on the operators and the organization in general; which can also have effect on its production level.

It is in this regard that the study is embarked on which is titled β€œImpact of office equipment on the performance of office professionals in selected organization in Kaduna metropolis”.

1.2Β  Statement of the Problem

Office equipment is key in the performance of office professionals. An automated office, undoubtedly, offers new roles and responsibilities for the office professional. Such new roles presuppose that additional training and qualifications are required from them. Many organizations do not put this into consideration especially when it comes to organization productivity.

The cost of installation and keeping the equipment in a working state is exorbitant especially when one considers the initial cost outlay and maintenance of the equipment.It is further observed that office professionals are not trained on the proper use of office equipment or on the various maintenance procedure that is required for equipment. There is no safety rule or training measures given to employee on how to go about using equipment without it affecting their health.

Many organizations do not provide adequate necessary equipment for their employees (office professionals) even when there is need for it. In some organizations these equipment, though they exist strict measures, rules and protocols need to be followed as declared by the management before office professionals can have full access to them.

There is also the general problem which is the fact that the benefit of using office equipment is not known to many organizations and as a result acquiring them is not their priority. The aspect of cost of purchasing is viewed as a disadvantage and prefers to employ people to work instead of machine. This will not enable the employees to perform their duties efficiently and will slow down the production process.

In the light of the foregoing, the researcher will answer the following questions:

  1. Does organization achieve maximum production without the use of office equipment?
  2. Is the funding for procurement and maintenance of office equipment inadequate?
  3. How knowledgeable is the office professional concerning the use of Office equipment?

1.3 Purpose of Study

The major purpose of this study is to access the impact of office equipment on the performance of office professionals. Specifically, the study indents to;
