Chapter one
1 Background of the Study
The success of any organization depends largely on its supervision. The need for greater productivity brought about the use of supervision in organization. It is well known fact that supervision is the backbone of any successful organization. Therefore the role of supervision on office professional productivity cannot be overemphasized.
Supervision in an organization is very important for growth and effective productivity. It is the function of leading, coordinating and directing work of others to accomplish a goal.
According to kriek and Stols (2010), a supervisor guides his or her subordinate work within the desired time. In the office the supervisor also seeks to ensure that their needs are satisfied to achieve their objectives
.A supervisor seeks to have his group accomplish the required work and likewise seeks to provide needed satisfaction and high morale among office professionals in an organization (Bester & Brand,2013). For an organization to be effectively managed there must be strict supervision to avoid waste of resources as to be able to provide such services from these supervision itself entails leadership role.
The supervisor leadership in an organization tremendously helps in motivating office professionals towards organizational goals and objectives; supervision is not only crucial in an office but in all organized endeavors(Yildiz&Aktas,2015).
Mills(2013) declared that supervision has a direct effect on the productivity of workers including office professionals. He added that supervisors do not only assign tasks and clear responsibilities of performing those tasks, but that they also give the right direction to workers under supervision to enable them take initiative and responsibilities to go ahead on their own. Wang,(2011) suggests that supervisors may not be influencing them adequately in the achievement of organizational goals.
Nwachukwu (2011) also identified supervision of subordinate in the environment and outcome as the major variable that influence productivity.Labor productivity is rarely measured directly but inferred from changes in office professionals attitudes and behavior such as organizational commitment, organizational citizenship behavior and work environment which includes some factors which either contributes positively or negatively to achieving maximum worker productivity (Eljwood, 2003).
Lambert (2005) noted that, the number of management functions in the work environment which appear to have been the key factor inhibiting higher productivity. Accordingly he identified the management function as provision of adequate fringe benefits, supervision work method and organization.
Traditional when business leaders talk about supervision they are usually referring to the managerial or the leadership function of overseeing productivity and progress of employee typically those workers who report directly to the supervisor.
Brevard (2009) defined supervision as the ability of supervisors to influence the behavior of subordinates which suggests that when office professionals are not properly supervised their performance and subsequently that of the entire organization suffer gravely in view of their central position in the office.
Stoner (2010)in support declared that the office professional productivity refers to the ability of professionals to attain organizational objectives through effective execution of assigned tasks with the aim of achieving organizational goals. He added that the organizational objectives are however achieved through effective supervision.
The productivity of various professionals including that of the office forms the basis for organizational productivity and it is important for organizations to supervise and encourage the workers to bring out their best at work. Polit(2013) emphasized that although the productivity of professionals is influenced by many factors such as organizational practices and culture, job characteristics, and team work, the quality of supervision plays an extremely important role above all.
Office professionals are promoted to the role of supervisor because of their technical expertise however, an effective supervisory relationship requires that the supervisor not only be a content expert but also accept the enormous responsibilities of mentorship.
The responsibility of the supervisor therefore is to create a safe environment in which the worker can work through the development issues or challenges of each level in order to gain the necessary motivation, autonomy and self-awareness successfully and also workers will lead to a greater sense of self confidence in their work place. Supervision of the developing worker on the other hand requires a greater level of skill and flexibility to help these workers negotiate the difficulty and challenges in an organization (Jones, 2005).
Kyko (2007) noted that environment in which is properly supervised it leads to high productivity in the organization and it enable worker to actualize their abilities and behavior. Supervision cannot be measure without effectiveness, they work hand in hand with adequate supervision, and theorganization can reach their requirement and achieve their set goals and objectives.
Saratoga (2004) noted that the important factor in developing effective supervision skills requires the availability of effective supervision. In other words, in order for an individual to develop the knowledge and skills to become an effective supervisor to others, he must first go through the process of effective supervision himself particularly in terms of being supervised and mentored in the role of supervision.
Despite the important role played by supervisors to improve the productivity of office professionals and other efforts made by organizations, one can still find that many office professionals are accused of poor performance by various managers with whom they work and sometime preferring to use amateur service providers like those computer operators.
